Your privacy matters to us. This policy explains what data we collect, why we collect it, and what you can do about it. If you self-host HappyHQ with your own API keys, we’re not in the picture and this policy doesn’t apply. We’ve kept it short on purpose. If you have questions beyond what’s here, just ask.
1. What We Collect
Account information: Using a HappyHQ account is optional. If you choose to create one, we collect your email address (required) and name (optional). You can sign in with email or Google at the moment.
Waitlist email: If you sign up for the HappyHQ waitlist, we collect your email address so we can let you know when we’re ready. The waitlist is hosted in Retool.
Payment information: If you’re on a paid plan, our payment processor (Stripe) handles your card details directly. We store a customer ID and basic subscription status — nothing more. We never see or store your card number.
AI inputs: When you chat with Q or ask Q to work on a task, you’re interacting with AI. Your message and relevant context are sent to an LLM as part of that interaction. See Section 4.
Your content: Your workspace content — tasks, notes, chats, documents — lives wherever you run HappyHQ. For our earliest adopters, that may mean your content lives on a private instance. It’s never on our servers unless you choose to share or collaborate with others through HappyHQ Cloud.
Analytics: We use PostHog to understand how people use our marketing site and docs — pageviews, clicks, and general navigation patterns. PostHog stores an anonymous identifier in your browser so we can distinguish one visitor from another across pages. We don’t create user profiles for anonymous visitors, and we don’t run PostHog inside your HappyHQ workspace — only on our public marketing and docs pages.
2. How We Use It
We use your data to:
- Provide, maintain, and improve the HappyHQ service
- Generate AI responses when you work with Q (see Section 4)
- Send you product updates, security notices, and support responses
- Detect and prevent fraud, abuse, or security incidents
- Comply with legal obligations
We don’t sell your personal data. We don’t use your workspace content to train AI models.
3. Who We Share It With
We work with a small number of trusted service providers to operate HappyHQ. Each one sees only what they need to do their job, and is bound by confidentiality obligations.
- InstantDB — stores your account info and billing metadata
- Google — OAuth sign-in, if you choose to use it
- Stripe — processes payments
- Anthropic — powers Q’s AI responses
- Cloudflare — infrastructure
- Fly.io — infrastructure
- Retool — waitlist
- PostHog — product analytics on our marketing site and docs
If you want to verify anything for yourself, HappyHQ is open source. Feel free to dive into the codebase.
We may also disclose data if required by law, court order, or to protect the rights and safety of HappyHQ and our users.
We will never sell your data to advertisers or data brokers.
4. AI Features & Third-Party Processing
When you work with Q, you are interacting with an LLM. This is currently Anthropic’s Claude. The messages you send and tasks you ask Q to complete are sent to the LLM to generate one or more responses.
Anthropic’s API terms exclude inputs from training by default, and as noted in Section 2, we don’t train AI on your data either.
If we add or change AI providers, we’ll update this section and Section 3.
5. Data Retention
We keep your account info while your account is active. If you close your account, we delete it within 90 days, except for billing and tax records we’re required to keep by law.
Your workspace content lives on your own machine, so when you delete something there, it’s gone. Content you’ve shared through HappyHQ Cloud is removed when you delete it or close your account.
6. Your Rights
Depending on where you’re located, you may have rights over your personal data, including:
- Access: Request a copy of the data we hold about you
- Correction: Ask us to fix inaccurate information
- Deletion: Request that we delete your data
- Portability: Export your data in a machine-readable format
- Opt-out: Opt out of non-essential communications at any time
California residents have additional rights under the CCPA, including the right to know what personal information we’ve collected and the right to non-discrimination for exercising your privacy rights.

7. Cookies
We use cookies and browser storage to keep you signed in, remember basic preferences, and — on our marketing site and docs — store an anonymous PostHog analytics identifier (see Section 1). We don’t use advertising or cross-site tracking cookies.
You can control these through your browser settings, though disabling them may affect functionality like staying signed in.
8. Security
In many cases your workspace content never leaves your machine and is never stored on our servers. For early adopters, we provision a private Fly.io machine for your content. Fly.io encrypts data at rest and in transit, and is SOC 2 Type 2 certified. Payment details are handled by Stripe, a PCI-DSS Level 1 certified processor. Account and billing metadata sit in InstantDB, accessed over HTTPS/TLS.
On our end, we use HTTPS everywhere and keep production access tightly limited.
No system is 100% secure. If something goes wrong and your data is affected, we’ll tell you, and notify you as required by applicable law.
9. Children’s Privacy
HappyHQ is not directed at children under 13. We don’t knowingly collect personal data from children. If you believe we’ve inadvertently collected such data, please contact us and we’ll delete it promptly.
10. Changes to This Policy
We’ll notify you of any material changes to this policy by email or in-app notice before they take effect. The “effective date” at the top of this page will always reflect the most recent version.
